ToolWatch Enterprise
Stop Tool Loss — and Manage Materials
more Affordably
ToolWatch is the most comprehensive system available today for managing tools, equipment, materials and consumables more efficiently across your company. This easy-to-use cloud-based application securely stores critical information on all of warehouse and field operation assets in one centralized database.
The result is reduced tool costs, automated management of materials, more consistent equipment service management and more accurate job costs and billing.
Nearly every department within your organization needs information about tools, equipment, materials and consumables. But because these assets are spread around different jobsites, warehouses, tool cribs and regions, it can be nearly impossible for those who need this information to retrieve it efficiently. White boards and paper-based systems are inefficient. And spreadsheet-based approaches are cumbersome and limited in scope.
Designed by construction veterans and tool and equipment experts, ToolWatch allows you to securely manage and track all of your:
- Tools and equipment
- Consumables and materials
- Service and calibration
- Purchasing and receiving
- Job costs and billing
Winner of Constructech Top Products 2010 and Construction Executive 2011 Hot Products
All through a secure, centralized database. This enables authorized users from any department and from anywhere in the world to retrieve the critical information they need, when they need it.
ToolWatch is much more than just basic tool tracking. It's a comprehensive software solution that automates and integrates all warehouse, yard and field operations throughout your enterprise — from the warehouse to delivery, all the way to the jobsite and back. ToolWatch enables you to:
Reduce Theft, Loss and Tool Costs: Avoid having to chase down missing tools and equipment, and ensure that items get back to the warehouse or crib.
Automate Materials Management: Set desired stocking levels for materials and consumables with user-defined alerts. Manage the disbursal of items more efficiently. And reduce paperwork by automating the billing of these items to various projects.
Ensure that tool, equipment and fleet maintenance events and calibrations are always performed on time. Easily track repair costs. And access complete service history for all your assets to help extend their useful life and to comply with OSHA regulations.
Streamline Purchasing and Receiving: Get notified when materials and consumables reach their reorder points. Extend purchasing and receiving functionality outside your four walls with handheld mobile devices. And increase PO and inventory accuracy through an automated PO-creation and receiving process.
Automate Job Costing and Billing: Keep field and warehouse staff from having to manage tedious paperwork through automated billing functions. Plus, ensure accurate project performance by automatically charging customers, departments or projects for tools used, lost or damaged.
ToolWatch contains dozens of powerful, practical and field-tested capabilities not found in competing systems. Some of the system's most powerful features include:
Tool and Equipment Management Features
- Multiple Stocking Locations: Manage tools, equipment, materials and consumables at multiple locations, including warehouses, tool cribs and tool supply vehicles.
- Electronic Pick Tickets: List items needed for a project, employee or stock point.

Tool Crib Manager
“There’s no paperwork to fill out. No typing. You always know who has what.”
Tool Crib Manager
Making Life Easier for Tool Crib Managers
Tool cribs and equipment storage areas cannot become bottlenecks. Tools and equipment need to move. But every company also needs accountability for its vital construction resources.
ToolWatch is so easy to use that both of these problems are eliminated at once. There's no paperwork to fill out. No typing. You always know who has what. You know where items are, when they're due, who had them last and when they're up for maintenance. And automated checkout features help move personnel through smart checkpoints even faster than grocery store scanners.
Eliminate Early-Morning and End-of-Shift Bottlenecks
Getting a high volume of items into the tool crib at the end of the work shift has always been the real test. With features like touch-screens, ToolWatch makes you more efficient by allowing you to navigate the computer screen using your fingers, rather than a mouse or keyboard (much like the touch-screens used in restaurants).
And the ToolWatch "Express Check-In" feature lets you check items in and out faster by scanning a ToolWatch bar code label on an employee's hard hat. This allows you to see a photo of the worker and all the items already checked out to them. You'll quickly see how many items have been issued to each individual, and how long they've had them. The result? Reduced tool loss and employee tool hoarding.
Automate Routine Purchasing Activities
ToolWatch enables you to set desired levels for tools, materials and consumables. This includes minimum and maximum thresholds for every item. When an item approaches its trigger point, ToolWatch alerts you, allowing you to take action before the item runs out. Ready to cut a PO? No problem. Simply select the items you want from the alert list and the system automatically sends them over to a ToolWatch PO, complete with accurate vendor part numbers and pricing.
Simplify Tool and Equipment Maintenance Management
ToolWatch automatically notifies you when service events are coming due. It tracks the costs and service history for all your tools, equipment and vehicles. It pinpoints where you're spending your time and repair budget. And it enables you to easily keep detailed records of calibrations and inspections to meet OSHA requirements.
Designed by Industry Insiders That Understand Your World
ToolWatch helps you and your people get more done. No wasted motion, no extra steps. Better yet, it's so well conceived that it eliminates the human desire to take shortcuts.
That's because ToolWatch was designed by construction industry insiders. People who understand that what you don't need is added complexity in your job. And what you could use are ways to make your day-to-day responsibilities easier, better, more efficient.
Increase Productivity and Accuracy with ToolWatch Scanning Devices
ToolWatch scanning devices are designed to maximize productivity and improve transaction accuracy. They're recognized for their durability - even in the harshest warehouse, tool crib and jobsite environments. Working seamlessly with ToolWatch Enterprise these simple devices are the foundation of the ToolWatch solution.
Mobile Devices Deliver ToolWatch Functionality While on the Go
ToolWatch mobile devices give you even greater flexibility by enabling you to capture, access and transfer information from the road, jobsite or any remote location. With a wide range of data features, these mobile devices allow you to transfer your data from anywhere—either through a standard docking station or through wireless options.

Equipment Service Scheduling & Management
The service tracking functionality in ToolWatch Enterprise helps ensure that your tool, equipment and fleet repairs are always performed on time—while automated and detailed records of calibrations and inspections enable you meet OSHA requirements.
Take a look at how ToolWatch Enterprise streamlines the repair and maintenance process of your vital construction resources:
Automatic Notifications and Digital Work Orders Simplify Service Management
How it Works:
Click on the Service Schedule to tell ToolWatch when an item should be serviced and what needs to be done.
Alternatively, when tools are transferred with ToolWatch scanning devices, you can flag them for service, repairs, washing, painting and so on. Then, ToolWatch will automatically prompt you to schedule them for service.
Automatic Service Notifications
When service is due, ToolWatch automatically posts a message in your Message Center, letting you know it's time to service an item. At that point, simply click on the message to see the Service Schedule for that item.
If you choose to service the item, one more click displays a new digital work order, which contains all of the tasks and materials necessary to complete a service event. Service technicians can easily retrieve work orders via a wireless mobile device, desktop or printed form.
Eliminate Tedious Paperwork
The system automatically manages the billing of labor and materials for every service event. That keeps service personnel from having to generate paperwork on what needs to be done, what was done, who did it, how long it took and what it cost.
Of course you can always look at future service schedules to forecast your workload, downtime and costs.
Detailed Service History—Without Paper
How it Works:
ToolWatch automatically builds a complete service history for each item. Just click on any tool or piece of equipment to instantly view its complete history and total service cost. And one more click lets you view detailed service tickets that show you exactly what was performed at each service event.
Easier Management of Calibrations and Inspections
How it Works:
ToolWatch Enterprise quickly shows you the latest calibration and inspection dates for all your tools and equipment. Together with a comprehensive record of all prior inspections, which ToolWatch makes instantly available, you'll be able to satisfy OSHA guidelines and other safety regulations.
Reports That Help You Make Better Decisions
How it Works:
Choose from a wealth of detailed, historical and summary reports on costs and service information for better-informed management decisions. This module quickly helps your service department gain control of service and repairs.
Key Benefits:
- Schedule future service events
- Print work orders
- Forecast service to help balance workload
- Automatically be notified when service is due
- Flag tools for service
- Look for patterns in repairs
- Reduce down time and control costs
- Access a complete service history for any item, including costs, parts and labor
- Keep schedules and detailed information to meet OSHA requirements
- See how much time and money you're spending on repairs
- Determine which items are worth repairing further - and which ones should be replaced
Streamlined Purchasing and Receiving
ToolWatch Enterprise was especially designed to help you streamline the tool and material purchasing and receiving process. Low-level alerts notify you when items reach their reorder points. Mobile devices extend purchasing and receiving functionality to the yard and jobsites. And the automated PO-creation and receiving process saves you time and increases PO and inventory accuracy.
Key Features:
Low-Level Browser
ToolWatch allows you to set desired levels for tools and materials, including minimum and maximum thresholds for every item. When an item approaches its trigger point, ToolWatch automatically alerts you. You can then easily select items to purchase and electronically send them to a purchase order.
Vendor and Product Data
The vendor address, account numbers, e-mail and all other pertinent information are automatically filled in for you when you write a new PO. You can even upload vendor-specific SKUs, catalog numbers, percentage discounts and negotiated pricing for each item. This enables you to easily spot over-billing - even compile an over-charge report you can present to the vendor, including all the necessary details to request credits due.
PO Browser
The PO Browser allows you to view, sort, print and edit POs from one convenient location. You can also select a PO, send it via e-mail or fax, open a receiving ticket, and track receipts, cancellations and back orders.
Receiving Ticket
ToolWatch receiving tickets are automatically generated for each purchase order. The receiving ticket can be generated and displayed on the desktop or on a mobile handheld device. As each item is received, the receiving ticket communicates with the original PO to track the remaining items to receive. It also communicates the actual purchase price for each item, calculates the new average cost and automatically updates your inventory.
Key Benefits:
- Streamline the purchasing process
- Automate repetitive purchasing functions
- Reduce stockouts through proactive low-level alerts
- Avoid unnecessary and costly tool and equipment purchases and rentals
- Increase PO and inventory accuracy
- Simplify the receiving process
- Improve vendor billing accuracy
- Easily catch over-charges when they occur
Automated Job Costing and Billing
A Back-Office Dream, a Relief to the Warehouse and Field
Eliminate project-cost guesswork with comprehensive tool, equipment and material billing functions. ToolWatch Enterprise enables you to automatically charge customers, departments or projects for resources used, lost or damaged. This helps eliminate tedious paperwork for field and warehouse employees. And it yields the business intelligence managers need to accurately measure project performance.
By cutting out tedious administrative tasks for field employees, your warehouse, yard, tool crib and delivery personnel have more time to do what they do best. And your accounting staff has the data they need to bill the right customer, department or project without having to do manual price lookups or run manual cost extensions.
Key Features:
Flexible Job-Cost and Billing Options
Set the number of billing days in a week or month, minimum/maximum billing amounts, customized holidays and return credits. You can even mix billing methods for different types of tools or projects.
Automated Usage Billing
Bill for tools and equipment based on the length of time they've been checked out to a project. And as equipment remains on projects for extended periods, automatically migrate billing rates from daily to weekly to monthly rates.
Fixed-Rate Billing
Generate a flat-rate charge for a tool when it is assigned. Upon its return, ToolWatch can automatically calculate a return credit based on a percentage of the tool's replacement value.
Bill for Tool Losses or Damages
When an item is lost, simply transfer it to ToolWatch's unique "Lost & Found" to generate a charge that covers the replacement cost. The system can also charge additional mark-ups to cover purchasing and handling fees. And ToolWatch is even smart enough to consider the original amount charged to the project for this tool. This way, the penalty doesn't exceed the value of the tool. Should the tool be found, ToolWatch can automatically reverse the penalty charges.
Cost Centers
ToolWatch automatically posts all billing charges to cost centers that you define. You can even assign independent billing rules and mark-ups, to each cost center. Cost centers display all billing charges for the current period, billed-to-date and project totals.
Real-Time Status Availability
Instantly view current billing charges without having to wait for month-end posting.
Reports
Choose various levels of reporting - from the most detailed transaction level to a comprehensive summary - and print reports any time during the billing cycle.
Interface with Your Accounting System
Save time and reduce the chance of errors by having ToolWatch integrated with your accounting system at the job-cost or general-ledger level. The integration is easily accomplished using "Web services" or exported data files.

Practical Uses of ToolWatch Mobile
Pick Tickets
Electronic pick tickets provide warehouse staff with a quick and accurate method for picking the tools and materials necessary to fulfill a request. Pick tickets can be assigned to a warehouse worker, who can then see a list on their wireless mobile scanner of all tickets they are responsible for. Moreover, the scanner's portability allows workers to move freely as they pick tools and materials, improving productivity and increasing picking accuracy.
Work Orders
ToolWatch Mobile streamlines the process of documenting and processing service and maintenance work orders. Using a ToolWatch mobile scanning device, a user can easily see a list of work orders assigned to them, including the work to be performed and the specific tasks involved.
As the user selects an individual work order, the screen in the handheld device displays a list of tasks to perform (e.g., "change the oil on truck 1052"), specific instructions for each task and an easy way to document the specific work performed—including labor expended and consumable items used. Because individual tasks and specific consumable items required are already listed on the work order, the user can simply check them off as the work is performed.
When finished, the handheld device saves all of the work order information for both historical and OSHA reporting, and automatically transfers it to the ToolWatch billing area for job cost and billing.
Express Check-In
Express Check-In enables a tool crib attendant using a mobile scanner to scan workers' hardhat labels or badges and instantly see a list of tools and equipment already assigned to them. This feature provides tool crib personnel with a faster, more effective way to monitor outstanding items and the individuals responsible for them.
Tool Browser
Through the Tool Browser tool personnel can instantly see lists of tools and equipment by site, employee, truck, warehouse, tool category (e.g., drills, saws, generators) and other useful search criteria on the display screen of the ToolWatch mobile device. From here, the user can drill down into an item to find more detailed information, including manufacturer, model or serial number.
Receiving
Electronic receiving tickets enables mobile ToolWatch users to receive items from their vendors. When a PO is selected, the user is presented with a list on their mobile scanner of items not yet received on that PO. As items are received—whether on one or on multiple receipts—the appropriate line items on the PO are closed out and the corresponding inventory levels for those items are updated. Once all items on the PO have been received, the system automatically closes the PO.
Count Inventory
This feature allows a mobile user to verify that the right items and the right quantities are located in the right jobsites. By selecting the appropriate stocking location, the user can quickly see a list of all items that need to be inventoried. As items are counted or scanned, ToolWatch Mobile updates actual quantities on hand.
Transfer of Tool, Equipment and Materials
The Transfer feature in ToolWatch Mobile enables remote or on-the-go users to efficiently transfer tools, equipment and materials to and from any warehouse, tool crib, jobsite, truck or employee.
Wireless, Cellular or Batch Connectivity
Wireless, cellular and batch are the methods by which the scanning devices running ToolWatch in a mobile environment can communicate with the ToolWatch system. All three of these methods leverage the Microsoft Windows Mobile operating system to imbed a database in every ToolWatch mobile device. This enables users to securely capture and store transactional data within their device, even when they're not connected to their ToolWatch database.
For instance, should a user enter an area with no wireless or cellular connectivity, he or she can continue to work uninterruptedly. Once they enter a wireless access point or an area with a cell phone signal, the unit synchronizes its data with your company's ToolWatch database. Similarly, should the battery in the mobile unit die, the device continues to safely store all the data collected until the battery is replaced and the unit synchronized with the main database.
